Scope: 4,000 Attendees, 8 Themed Brand Rooms, and 150-Booth Trade Show
Overview
A leading global hospitality group hosted a groundbreaking Leadership & Commercial
Conference, bringing together property managers, sales directors, and brand leaders to
connect, align, and share insights. Tasked with transforming this gathering, a creative agency,
alongside Architex, was entrusted with reimagining the event to elevate engagement and create immersive, brand-centric experiences for each participant.

Objectives
The vision for the conference was to:
Reinforce Brand Identity and Pride: Each brand room was crafted to uniquely
showcase its identity, values, and mission.
Engage and Inspire: The event aimed to overcome typical conference fatigue by
creating interactive, emotionally resonant spaces.
Foster Networking and Business Growth: The Network Hub served as the central
space for partner and sponsor interactions, supporting essential relationship-building
and collaborations.
Approach and Execution
Thematic Brand Rooms with Immersive Design Each brand room was created to evoke a
distinct atmosphere that aligned with its identity:
Lifestyle Collection: A symbolic wall of vintage keys, engraved with each property’s
name, allowed attendees to find a tangible representation of their role within the broader
hospitality group, leading to an emotional response among many guests.
Full-Service Collection: This room featured an immersive, nature-inspired entry with
fog, scent machines, and ambient sounds. The space was described by senior
leadership as a best-in-class execution, setting a new benchmark for event design.
Newly Acquired Brand: The environment reflected the brand’s unique charm, creating
an authentic atmosphere that executives recognized as perfectly aligned with the brand’s
identity.
Network Hub and Trade Show
The conference featured a 150-booth trade show integrated
within the Network Hub. In addition to managing logistics, your team deployed a centralized
control system for the monitors in each booth, allowing real-time content programming,
scheduling, and control across all screens. This system enabled the team to make live
adjustments to content, providing tailored experiences and ensuring seamless functionality for each vendor and participant. Originally envisioned as a more experiential space, the Network Hub transitioned to a trade-focused setup, with the team adapting quickly to changing requirements.

Technological Innovation
The conference’s scale and technical needs were met with sophisticated solutions:
Real-Time Content Control: The trade show’s 150 booths each featured integrated
monitors managed by a centralized system. This allowed for synchronized content
updates, scheduling, and remote control across booths, enabling the team to adjust
content on the fly.
Streamlined Communication: Wireless communication channels connected brand
rooms, facilitating quick responses and troubleshooting, maintaining smooth event flow.
Offline Rehearsal Rooms: We set up and operated rehearsal rooms with equipment
and content managers, all networked with show rooms for efficient change and file
management.
Results
Feedback from the hospitality group was overwhelmingly positive, with brand leaders,
executives, and attendees alike expressing appreciation for the immersive and meticulously
designed setup. Key outcomes included:
